Q: How Receipt-Bot helps small businesses, bookkeepers and accountants?

Receipt-Bot takes care of data entry from all the accounting documents, such as invoices, receipts, bills, bank statements and credit card statements. (Statements support coming soon)

It works in 3 simple steps:

  1. You upload all the scanned documents to Receipt Bot online app. You can forward email bills to your dedicated Receipt Bot email or take pictures with our mobile app.
  2. Receipt Bot sorts all the documents and extracts the required accounting information from the document and records it.
  3. You review and approve entered data online and press export to record all the transactions in your cloud accounting system such as, Xero and Quickbooks online. You can also export to Excel or CSV formats.

You can upload any documents into Receipt-Bot, not only just receipts, invoices or bank statements. You can upload your important business letters, e.g. HMRC letters, Supplier and employee contracts, or quotations etc. All these documents are tagged and converted to searchable format so that these are easily accessible when you need those. This enables you to maintain all the documents at one place that are available to you from anywhere in the world with an internet connection. (This feature will be released soon).

Q: Is the data read by Receipt-Bot error free?

Yes, our top quality OCR and ICR engines extracts the data with high accuracy which is then manually reviewed for accuracy to ensure you get best results.

Q: How can files be submitted to Receipt-Bot?

There are multiple ways in which files can be uploaded to Receipt Bot.

  1. Browse and upload from computer to our web app (website).
  2. Upload from android or iOS device.
  3. Forward emails to your dedicated email address.
  4. Connect your dropbox or G-Drive and upload bills directly from there. (This feature will be released soon).

Q: What is the turnaround time?

All uploaded documents are processed within hours of upload. Though actual turnaround is much faster, please allow a maximum of 24 hours for processing of uploaded documents.

Q: Are there any special pricing plans for Accountants or Bookkeepers?

Accountants and bookkeepers can join our partner programme or buy one of our multi-entity plans. Multi entity plans allow accountants and bookkeepers to add a number of entities and manage their data and bookkeeping through one central console with ease.

Q: How does Receipt-Bot categorize the expenses?

Bot uses machine learning to learn categorization of various expenses based on the set parameters. It also remembers the categories that your enter for each of your suppliers and categorises the receipts and expenses accordingly.

Q: Is my data secure?

Yes. The application employs the highest level of SSL encryption, similar to that used by banking industry to ensure that all communications with our server are secure. Our application is hosted and the data is stored on the UK servers of a leading global cloud services provider.

Q: What equipment do I need to start using Receipt-Bot?

No new equipment is needed as such. Receipt-Bot can be used from any standard pc, tablet and smart phone.

Q: Can I use Receipt-Bot from anywhere?

Absolutely, Receipt-Bot is based in cloud which means that you can access your documents from anywhere in the world. All you need is your pc/tablet/smart phone along with an internet connection.

Q: How do I share the data with my team and accountant?

You can simply invite your accountant and team members using their email address.

Q: How long Receipt-Bot stores my data?

YAll the documents uploaded to Receipt-Bot remains in it till your package is active. In near future, we will allow users to define the time period for which they want their data to be maintained.

Q: What if I stop using Receipt-Bot, how will I access my data then?

You will need to make a back-up of your data when you cancel your subscription. All data is deleted after a month of subscription expiry.

Q: Do I need to use an Accounting Software alongside Receipt-Bot?

Receipt Bot is not an accounting software in itself. It is a Data Entry app that enters all your data in the accounting software. So it acts as a plugin of accounting software and in most cases you will need to use accounting software as well. However, should you wish maintain your accounts in Excel, you can also export all data in excel as well.
